Our client is looking for an extensively experienced, well travelled, Estate/Villa Manager (live in role) based in Dubai but with extensive travel.

Roles and Responsibilities

STAFF RECRUITMENT AND MANAGEMENT

To provide the management and/or overview that ensures that House-Keeping, Food and Beverage Service, Kitchen and the other departments function seamlessly, while striving to deliver “exceptional service” as standard.

To provide recommendations for the recruitment and the management (either directly or through other staff) of The Household Employees.

To provide positive leadership to all The Household Employees so that consistent and high levels of service can be maintained, and “exceptional service” can be delivered whenever possible;

To provide training courses to The Household Employees, so that they understand the correct procedures and methods that are expected, and to provide written instruction and manuals where necessary;

The Villa Manager must always maintain a close eye on the service that is delivered by the Household Employees, and be ready to provide the necessary leadership and training to close the gap when the level of service falls below the level that is expected;

To create and oversee cross-training where it is deemed advantageous;

To promote open communication, via regular meetings, with The Client, The Household Employees, contractors and service providers;

To inspire The Household Employees with a sense of personal ownership and commitment to their work, and their working environment;

Employee Scheduling: To manage staff rosters, time off, and holiday rosters (within the rules of UAE law and/or contractual obligation).

THE MANAGEMENT OF THE 2 VILLAS AND THE PERSONAL ASSETS OF THE CLIENTS

To provide the management and/or overview to ensure all household systems are maintained correctly (Example: Heating/AC/Pools/Audio &Visual);

To provide the management and/or overview to ensure all vehicles are maintained correctly;

To provide the management and/or overview to ensure the gardens are maintained correctly,

To provide the necessary management and/or overview to ensure that the furnishings, clothing, art collection (etc) are correctly maintained;

To create accurate inventories of all items relating to The Villas (art, furniture, tableware, linens, equipment etc);

To scrutinise and oversee the payment of invoices relating to the Villas, and to be able to provide justification and detailed annual costing and budgets as required.

MAINTENANCE AND HOUSEHOLD DEVELOPMENT

Improving Standards & Productivity: To research and make studied recommendations for the acquisition of equipment that will improve the levels of service that can be delivered;

Operational Budgets: Working with the Private Office, to compile data, study/analysis & make studied recommendations that improve effectiveness and lower running costs;

Tendering Contracts: To study existing contracts (maintenance/staff-contract etc) and then moving forward, tendering all out-sourced services, making analyse of those tenders and presenting studied recommendations;

Legal Compliance: ensuring that The Villas and its staff complies with all and any permits, insurance or legal obligations;

Nurturing Relationships: ensuring the maintenance of good relations with neighbours, public authorities and service providers;

Insurance Policies: Reviewing existing contracts, then recommending, maintaining and ensuring the adequacy of insurance policies;

Maintenance: Work with The Household Staff, service providers and vendors to ensure proper routine-care and maintenance is completed, and that documentation for all services and equipment is in order, and that (monthly/bi-annual/annual) inspections of systems, plant and equipment are conducted.

FUTURE OBJECTIVES

All Personal Assets should be managed in a way that provides The Patron, His Family and His Guests, with a positive service experience, in an environment of employee competence, good morale and well-maintained facilities;

The Residential Manager will be keenly focused on The Patron’s activities, in order to ensure a system of service delivery that is appropriate, efficient and timely;

The Residential Manager must create a Black Book of: Suppliers, Contractors, Medical Experts & Facilities along with Service Professionals details;

The responsibilities and scope of work of The Residential Manager is expected to evolve, but the immediate goal is to lead the property towards becoming a self- sufficient entity, that is formed with direct input from The Patron & His Family, and some outside assistance from the “private office”.

Entry Requirements

THE ESSENTIALS

For cultural reasons a female villa general manager is required to work for a prestigious household located in The UAE.

Candidates must be fluent in English and it would be advantageous if candidates had a good level of spoken Arabic.

Managing a staff of about 20 staff, along with contractors and service providers, candidates must provide not less than 20 years experience gathered in Royal Households, Luxury estates or Deluxe Hotel environments known for the excellent level of service provided.

Candidates must be confident drivers

Candidates will be required to travel with the clients on their foreign trips, when the candidate will be require to manage the travel and staff logistics along with the daily requirements of the client.

A European or American Passport Holder etc would be a benefit for ease of making international travel

Motivated, Driven, Confident and Capable with excellent Communication Skills and a Keen Eye for Detail are the traits we will be looking for
