Candidates for the role of  Estate Manager will be highly motivated, enthusiastic and organised. They will be required to oversee the day-to-day smooth running of the estate and the household, whilst managing a team of house-keepers, kitchen-staff and gardeners. Candidates must have a proven ability to multi-task, and will be required to create a solid and professional rapport with The Principals, The Guests and The Staff. 

Because of the location of the property, the Estate Manager is required to hold a clean driving licence and must be a confident driver. 

Candidates should be aware that The Principal travels frequently and the hours of work will be varied. Rotas will need to cover early starts, late finishes and weekends or bank holidays as required. 

Candidates should also have a head for numbers as they will be responsible for preparing budgeting and household reports. 

The ability to speak German is essential and fluency in English would be a great advantage.

  • Address: Outskirts of Vienna, Austria.
  • The Property: Large house, sitting in grounds with various out-buildings. Recently renovated to a very high standard, in a contemporary style.
  • Staff: A large team, including kitchen staff, housekeepers & gardeners.
  • The clients: The Principal and two grown-up children, who live within designated areas of the main house.

Roles and Responsibilities

General Duties, Responsibilities and Skills required:

  • Preparing staff work rosters, holiday schedules, and managing absences caused by sickness etc.
  • Staff training and organising the daily duties and the: weekly, monthly & twice annual duties of the domestic staff.    
  • Arranging: restaurants, concerts, events and travel plans as requested.
  • Liaising with: travel agents, chauffeurs, security staff and employees from both the households and The Principal’s corporate office. 
  • Maintaining household budgets and inventories.
  • Assisting, planning and organizing parties and events in the home.
  • Maintaining accurate household inventories.
  • Ensuring proper security measures and prevention plans are in place (to include: Alarms/Fire/First Aid).
  • Knowledge of social etiquette and formal service.
  • Knowledge of proper care for fine tableware.
  • Ability to receive guests and supervise the reception of visitors and answering telephone calls.
  • Ability to serve meals and drinks and perform waiting services as required.
  • Overseeing and participating in table settings and entertainment preparation.
  • Demonstrating knowledge of wines and overseeing the wine cellar and liqueur inventory.
  • Overseeing family packing and travel preparations.
  • Serving as a personal valet as required.

 

House Maintenance

  • Scheduling and overseeing household maintenance and servicing works, or project management duties.
  • Ensuring continuous supply of utilities, including: electricity, water, sewage disposal, broadband, Internet and cable TV, alarm systems etc.
  • Maintaining custody of keys and/or, providing access to contractors and service providers.
  • Overseeing tradespersons and all their activities while on the property.
  • Reporting and maintaining accurate logs for damage and/or breakages that have occurred.
  • Seeking tenders and/or quotes for: works/repairs/servicing as needed.

 

Financials and Management

  • Assembling all invoices, verifying work completed as specified, and/or that services were supplied, before passing on for signoff and payment.
  • Running/managing the various house expenses, including: accounts with local suppliers, petty cash and house credit card.
  • Providing The Principal with household expenditure forecasts as required.

 

Contingency Planning

Maintenance and updating of manuals and directories, including:

  • Details of building control equipment and domestic appliances.
  • Accurate lists of Emergency numbers, in respect of: Security, Health (Family Doctors & Local practices | Clinics | 24/7 Pharmacy etc), vehicle insurance providers & natural calamities, including contacts for service providers and liability insurance providers.
  • Contingency plans for emergencies, in relation to: fire, electricity, plumbing, water, telephone and broadband.
