JOB TITLE:                Estates Manager (EM)

LOCATION:                Stockholm 

REPORTS TO:            The Family

DIRECT REPORTS:     Accountant and household Team

ROLE PROFILE

A prominent businessman seeks to recruit an Estate/s Manager (EM) to operate as right-hand to himself and his family (the family).

Offering a proven, detailed and comprehensive understanding of Sweden, its Language,  Culture, Customs, Etiquette & Business Protocol, the EM will work closely with the family on all matters relating to their personal and home life, taking ownership of the management and oversight of the family’s residential properties located in Stockholm, including artisans, contractors, service-providers and associated household staff.

Taking responsibility for the client’s households, (an existing home and another being built) the EM will thrive in a fast-paced, expanding environment. He/she will exhibit seasoned skills, assist the family with all manner of duties, act as the family’s ambassador and representative, while acknowledging and understanding that duties and representations must be performed flawlessly and efficiently, in a manner acceptable to local cultural expectations, all-the-while maintaining a high-level of privacy & discretion.

Using well-practiced skills, the EM will ensure the proper implementation and delivery of the family’s requests and the efficient function of all key household operations, including: F&B Service, Housekeeping, HR matters, Property Management and Event Management.

Administrative skills, related to the family’s personal world, will include development of all necessary contacts, contracts, policies and processes, along with schedule and diary management, accounts and budgeting, inventorying and logistics. Some of these duties will require the EM to maintain perfect connectivity and open communication with the clients’ private office.

Candidates will be detail orientated and will love organizing both paper and process.

An excellent communicator, with strong management and influence skills, the EM will display professionalism and efficiency in representing the family, and on occasions the client’s office.

Entry Requirements

Required Qualifications and Experience

  • Proven knowledge of Swedish culture and work-practices
  • Fluency in English
  • spoken Swedish would be a major advantaged 
  • Qualifications to include internationally recognised hospitality certification
  • Advanced proficiency in MS Word, Excel, Power Point, Outlook, Adobe and CRM
  • Experience of working for a respected hospitality or private household setting.
  • Proven success working in a high-volume work, shifting priorities, 24-7, international environment
  • Success in managing people and efficiently running all key processes, especially within private household or deluxe hospitality setting, which might include boutique hotels,  royal courts, presidential palaces, 5* cruise ship, super yachts (80m++) etc
  • Financial experience of overseeing budgets, significant assets and complex contracts
  • Experience of coordinating private travel, both domestic and international
  • Ability to work from multiple locations, maintaining strong relationships in each 
  • Experience in coordinating large events (c.100+) and the inherent logistics 
  • Strong written communication skills – speech and letter writing capability
  • Previous experience of working in an environment where written and numerical reports are expected on a regular basis

This is non-negotiable

Candidates must present proven experience of, and/or show they have advanced knowledge of, Swedish local customs, etiquette and protocol.

Furthermore, while it is possible to imagine a non-Swedish speaker being employed into the role, such candidates must be able to prove they have an existing support-mechanism in-place, that would help them navigate the vagaries of life and work in Sweden.
